Timecards & Payroll
I want to assure all of our employees that we strive to pay everyone on time and accurately. However, in order to do this we need your help! Please make sure that you are clocking in and out every day, requesting time off (unpaid, sick, PTO) and reviewing your timecard every week. The system pulls hours from your timecard into payroll, so if your timecard is wrong you will be paid wrong. We don’t want that and neither do you, so please help us by ensuring your timecards are correct. If you notice any issues with your timecard, notify your manager immediately and if it hasn’t been corrected by Monday at 10am please contact Heather in the office.
How to reset your Paylocity password
Click the FORGOT PASSWORD link at the bottom of the log-in screen. You will need to enter Tactical’s company code (#133006), your username & your phone number. If you don’t remember your username please email Human Resources at firstname.lastname@example.org for further assistance.
How to view your paystubs
After logging in-to Paylocity navigate to the 3 lined drop menu and select “Pay”. This may require further log-in credentials or face id based on users security preference.
How to submit a missed punch form
After successfully logging into Tactical’s employee portal, navigate to the missed punch form section.
As applicable, employees are required to record all hours on a weekly basis for management approval to certify the accuracy of all time recorded. If the employee fails to clock-in or clock-out for any shift, they must complete the Missed Punch Form within the Employee Portal. No time can be added or adjusted without promptly completing the Missed Punch Form. Failure to complete the form prior to payroll being processed by Monday of the following week, will result in payment of missing hours in the next pay period.
How to submit a Payroll Discrepancy Form
After successfully logging into Tactical’s employee portal, navigate to the Payroll Discrepancy Form section.
If there is an error in any employee’s pay related to missed hours, the employee must complete the Payroll Discrepancy Form within the Employee Portal, so Tactical Construction can resolve the matter quickly and amicably. Tactical Construction pay period is from Monday to Sunday. If you failed to punch in or out at the designated times during your shift, your pay will not be guaranteed until approved by a Leadership. Once your hours are approved by Leadership, the approved hours will be paid in the next pay period
How to submit a Incident or Injury Report
Incident Report Form
After successfully logging into Tactical’s employee portal, navigate to the Incident Report Form section.
You must complete this form if/when any equipment or tools are damaged or stolen.
Injury Report Form
After successfully logging into Tactical’s employee portal, navigate to the Injury Report Form section.
You must complete this form if/when any job-related injuries occur.
Frequently Asked Questions
We have made the expense reimbursement process easier and more efficient by going mobile with the Paylocity app! Effective immediately, the office will no longer accept paper, e-mailed or texted receipts for reimbursement. All reimbursements must be summitted through the Paylocity Expense system, your manager will approve the expense and it will be added to the next payroll automatically. Attached are instructions on how to submit an expense report, please note when submitting an expense related to a job site you must select the job name from the job dropdown. Please contact the office with any questions.
As a reminder, all employees are still expected to follow our spending policy: Any and all job-related purchases needs to be pre-approved by either Jeremy Judkins, Jacob Archer, or James Richter. Implied purchases include small tools, supplies & materials, fuel, vehicle related expenses, parking and all other purchases related to the performance work and any related transportation. If there are any questions or clarifications needed regarding this policy, please contact your supervisor.
Depending on the employee’s position and classification, Tactical Construction endeavors to review performance, as necessary; however, a positive performance evaluation does not guarantee an increase in salary, a promotion, or continued employment. Compensation increases and the terms and conditions of employment, including job assignments, transfers, promotions, and demotions, are determined by and at the discretion of management.
Tactical Construction encourages employees and supervisors to discuss job performance on a frequent and ongoing basis.
Employee eligibility is as follows:
· Full-Time, Exempt Employees: Eligible upon hire
· Full-Time, Non-Exempt Employees: Eligible after 90 days of employment
· Part-Time Employees: Not eligible
· Employees must work the day before and after a holiday or have approved PTO to be eligible for holiday pay. If an employee calls in or no shows, they forfeit holiday pay.
Eligible employees will be paid for the following holidays:
· New Year’s Day
· Memorial Day
· Independence Day
· Labor Day
· Thanksgiving Day
· Christmas Day
When holidays fall or are celebrated on a regular workday, eligible employees will receive one
(1) day’s pay at their regular straight-time rate. Eligible employees who are called in to work on a holiday will receive one (1) day’s pay at their regular straight-time rate, and an additional payment of straight-time for the actual time they work that day. If the holiday falls on the weekend, it will be observed on the preceding Friday or the following Monday. If a holiday falls within an eligible employee’s approved PTO, bereavement or jury duty period, the employee will receive paid holiday in lieu of.
Planned Time Off
Planned Time Off (PTO)
As appreciation for how hard our employees work, Tactical Construction provides Planned Time Off (PTO) for rest, relaxation, and tending to personal affairs.
Eligible employees are provided PTO on an accrual basis as follows:
· Full-Time, Exempt (salary) Employees: At date of hire, employees begin to accrue up to two (2) weeks (80 hours) of PTO.
· Full-Time, Non-Exempt (hourly) Employees: At date of hire, employees begin to accrue up to one (1) week (40 hours) of PTO.
· Part-time employees: Are not eligible for PTO.
Earning Additional PTO: As an incentive for loyalty to the Company, employees will accrue an additional 8 hours (1 day) of PTO for each year of employment up to a maximum additional 40 hours (5) days. So, after 5 years of employment, a full-time hourly employee would accrue up to 80 hours (2 weeks) and a full-time salary employee would accrue up to 120 hours (3 weeks) of PTO.
NYS Paid Sick Leave (PSL)
NYS requires forty (40) hours of paid sick leave per year to be offered on an accrual basis. Each Tactical employee, regardless of position or status, is entitled to use up to 40 hours of sick leave for any qualifying reason listed below. Leave will be accrued at the rate of one (1) hour for every thirty (30) hours worked. Sick leave can be used in increments of no less than four (4) hours and should be communicated to a supervisor at the earliest possible time to facilitate proper staffing of our work sites. If the employee uses leave for three (3) or more consecutive scheduled workdays, the Company may request documentation confirming their eligibility to take sick, except where prohibited by law. Requests for documentation shall not disclose the reason for leave and are limited to the following: (1) An attestation from a licensed medical provider supporting the existence of a need for sick leave, the amount of leave needed, and a date that the employee may return to work, or (2) An attestation from an employee of their eligibility to leave. Unused sick leave will be rolled over from year to year; however, employees are only entitled to use up to 40 hours per year. Employees will not be retaliated against in any way for exercising their rights to use sick leave. Any unused sick leave time is not compensable and will not be paid out upon separation or termination.
